This Privacy Policy explains how South East Solar Network ("we", "us", "our") collects, uses, shares and protects your personal information when you visit southeastsolarnetwork.co.uk (the "Site") or submit an enquiry to be matched with a solar, battery storage or EV charger installer. We are the data controller for the personal data described in this notice and we comply with the UK GDPR and the Data Protection Act 2018.
1. Information we collect
When you use the Site or submit a quote request, we may collect:
- Contact details — your full name, phone number and email address.
- Property details — your postcode, property type, roof information and any notes you add about your project.
- Energy use details — optional information such as your typical monthly electricity bill or current supplier.
- Communications — records of calls, emails, SMS and form submissions between you and us.
- Technical data — IP address, browser type, device, referring URL, pages visited and approximate location, collected via cookies and analytics.
We do not knowingly collect special category data (such as health information) and we do not knowingly collect personal data from children under 18.
2. How we use your information
We use your personal data to:
- match you with one or more vetted, MCS-accredited installers in your area;
- contact you about your enquiry by phone, SMS or email;
- verify the quality of the lead (for example by confirming your postcode and that you are the homeowner);
- respond to questions and provide customer service;
- improve the Site, our content and our matching process;
- send service messages and, where you have opted in, occasional updates about solar grants, tariffs or new services;
- prevent fraud, abuse and misuse of the Site; and
- comply with legal, accounting and regulatory obligations.
3. Legal bases for processing
We rely on the following UK GDPR legal bases:
- Consent — when you submit a form, opt in to marketing or accept non-essential cookies.
- Legitimate interests — to operate, secure and improve the Site, to perform lead quality checks and to share leads with the matched installer so you receive a quote.
- Legal obligation — to keep records required by tax, consumer protection and electronic marketing law (PECR).
- Contract — where necessary to take steps before entering into a contract with you or an installer.
4. Who we share your information with
We share your personal data only with:
- Matched installer(s) — typically a single vetted MCS-accredited installer in your area, so they can provide your quote and arrange a survey.
- Service providers (processors) acting on our instructions, including form/CRM tools (e.g. Google Workspace), our website and database hosting providers, email and SMS providers, and analytics providers.
- Professional advisers such as accountants, auditors or lawyers, where required.
- Authorities where we are legally required to disclose information (for example to law enforcement or regulators).
We do not sell your personal data and we do not pass your details on to multiple unrelated companies for unrelated marketing.
5. International transfers
Some of our service providers may process your data outside the UK or EEA (for example analytics or email infrastructure hosted in the United States). Where they do, we rely on appropriate safeguards such as the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or an adequacy decision.
6. Cookies and analytics
The Site uses strictly necessary cookies to function and may use analytics cookies (such as Google Analytics) to understand how visitors use the Site, and advertising cookies to measure the performance of campaigns. You can control cookies through your browser settings and, where shown, our cookie banner. Disabling cookies may affect Site functionality.
7. How long we keep your data
We retain enquiry data for up to 36 months from your last interaction with us, after which it is deleted or anonymised. We retain marketing consent records for as long as required by PECR, and accounting records for at least 6 years as required by HMRC. You can request earlier deletion at any time (see section 9).
8. Security
We use appropriate technical and organisational measures to protect your personal data, including encryption in transit (HTTPS/TLS), access controls, role-based permissions, secure cloud hosting and regular reviews of our processors. No system is 100% secure, but we take our responsibility to safeguard your data seriously and notify the ICO of qualifying personal data breaches within 72 hours.
9. Your rights
Under UK GDPR you have the right to:
- access a copy of the personal data we hold about you;
- request correction of inaccurate or incomplete data;
- request erasure ("right to be forgotten") in certain circumstances;
- restrict or object to certain processing, including direct marketing;
- request data portability;
- withdraw consent at any time (without affecting prior lawful processing); and
- lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

10. Marketing preferences
You can opt out of marketing messages at any time by clicking "unsubscribe" in any email, replying STOP to any SMS, or contacting us. We will still send essential service messages relating to your enquiry.
11. Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top will reflect any changes. Material changes will be highlighted on the Site.
